We will send out a Tournament Packet via email regarding the details of each season tournament: dates, location, hotels, schedule, etc. Players whose parent/guardian will not be attending the tournament must notify the Tournament Coordinator so a clear guardian is in place. Arrangements can be made for the player to ride with another player’s parent/guardian. Players are to ride with the same driver throughout the weekend. Please note that no player is allowed to drive his/her vehicle without a parent/guardian to or from tournaments outside the greater Indianapolis area. Key items to review before you travel: 1. Is the tournament location in a different time zone? 2. Does travel route to tournament include toll roads requiring exact change? Hotel Hotel check-in time for all players will be communicated by coaches before each out-of-state tournament. Players’ rooms will be reserved and paid for by the Club. Typically four players are assigned to a room. The hotel lobby desk will have a room list containing room assignments for each player. Players may check in at the hotel lobby desk to receive their room key. Players may not change room assignments without first consulting with coaches or chaperones. Chaperones are on site for all club events, including hotels and tournaments. They are required to complete SafeSport training and a criminal background check. Chaperones help to ensure safe and appropriate conduct for all participants. If a player or parent has significant concerns about coach or player conduct, these concerns should be discussed with the chaperones. Chaperones for each tournament are communicated to club members before each event. Coaches or Team Captains will notify you if there will be a team meeting at the hotel on on the first night of arrival. The team meeting is to remind players of expectations such as conduct, bedtimes, and the time the team will be leaving the hotel the next day. Meals Players are responsible for the cost of any purchased food or snacks. Breakfast Saturday & Sunday Provided by hotel as part of hotel room cost. Lunch Saturday & Sunday Concession stands and food trucks at tournaments may or may not exist or be open. Most tournaments have restaurants within a reasonable driving distance. However, based on the team’s match schedule the team may have to play through typical lunch times. Players who leave the tournament site must notify their coach. Dinner Friday & Saturday Dinner is not a coordinated event. Friday night, most families eat dinner before arriving at the team’s hotel. Saturday, following tournament pool play, players may decide to have a team dinner at a local restaurant. Players must be accompanied by a parent or coach if leaving the hotel and the coach or chaperone must be notified. Dinner Sunday Sunday dinner will be the responsibility of the player during travel home. |
